This Privacy Policy explains how IQ Horizon ("Company," "we," "us," or "our"), operating the IQ Horizon Labs website at www.iqhorizonlabs.com (the "Site"), collects, uses, discloses, and protects personal data of visitors and prospective clients ("you"). It is intended to comply with the Kenya Data Protection Act, 2019 (the "DPA"), and, for visitors located in the European Union or United Kingdom, the General Data Protection Regulation ("GDPR") to the extent applicable.

2. Information We Collect

a) Information you provide directly. When you submit a project inquiry through the Site, we collect:

• First name and last name
• Work email address and phone number
• Company name and company website
• Your role at the company
• Company size
• Budget range for the proposed project
• A description of the project or AI system you would like built

b) Information collected automatically. Like most websites, the Site may automatically collect limited technical information when you visit, such as IP address, browser type, device type, referring page, and general usage data, typically through cookies or similar technologies (see Section 9).

c) We do not knowingly collect payment card details, national ID numbers, or other special categories of sensitive personal data through the Site's inquiry form.

3. How We Use Your Information

We use the information collected to:

• Evaluate and respond to your project inquiry, including preparing proposals or quotes
• Communicate with you about your inquiry, by email or phone
• Understand demand for our services and improve the Site and our offering
• Maintain business records and comply with legal or accounting obligations
• Where you separately become a client, to support delivery of that engagement (governed additionally by the client agreement)

We do not sell your personal data to third parties.

4. Legal Basis for Processing

Under the Kenya Data Protection Act and, where applicable, the GDPR, we rely on the following legal bases:

• Consent — when you voluntarily submit the inquiry form
• Legitimate interests — to follow up on inquiries and operate our business development process
• Contractual necessity — where information is needed to prepare or perform a proposed engagement
• Legal obligation — where we must retain records for tax, accounting, or regulatory purposes

5. How We Share Information

We may share information with service providers who support our operations, acting as processors on our instructions. As an AI operations agency, the tools we use to run the Site and deliver client automations, agents, and dashboards may include:

• Email and productivity platforms, such as Google Workspace (including Gmail, Google Drive, and Google Calendar)
• Workflow and automation platforms, such as n8n
• Team collaboration and knowledge-management tools, such as Slack and Notion
• Design and creative production tools, such as Canva and Figma
• AI model and infrastructure providers, such as Anthropic and Hugging Face
• Integration and agent-orchestration platforms, such as Composio and Hyperagent
• Website hosting, cloud infrastructure, and analytics providers

This list reflects the categories of tools typically used to operate an AI automation practice and will evolve as our toolset does. We also may share information with professional advisors, such as lawyers or accountants, where necessary, and with authorities where required by law or to protect our legal rights.

6. Data Retention

We retain Inquiry Information for as long as needed to evaluate your inquiry. Where an inquiry does not result in a client engagement, we retain the information for up to twenty-four (24) months from the date of submission, after which it is securely deleted or anonymized, unless a longer retention period is required by law. Where you become a client, information is retained for the duration of the engagement and for any additional period required for legal, accounting, or business record-keeping purposes.

7. Data Security

We use reasonable technical and organizational measures designed to protect personal data from unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights

Subject to applicable law, you may have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict certain processing
• Request a portable copy of your data
• Withdraw consent at any time, where processing is based on consent

To exercise these rights, contact us using the details in Section 14. Kenya-based individuals may also lodge a complaint with the Office of the Data Protection Commissioner (ODPC). EU/UK-based individuals may have the right to lodge a complaint with their local supervisory authority. Where required under the Data Protection Act, the Company will register as a data controller with the ODPC.

9. Cookies and Tracking Technologies

The Site may use cookies and similar technologies to support essential site functionality and, where enabled, to understand aggregate visitor behavior — for example, through analytics tools such as Google Analytics. The Site does not currently use cookies for third-party advertising or marketing purposes. Where required by applicable law, a cookie notice or consent mechanism is presented to visitors, and you may control cookies through your browser settings.

10. International Data Transfers

As the Site serves clients in Kenya and internationally, personal data may be transferred to and processed in countries other than your own, including where the service providers described in Section 5 are located. The Site is intended for business use and is not directed to individuals under 18. We do not knowingly collect personal data from children.
